Pricing is a rules table, not a habit. Six price lists – Retailer Standard, Contractor Plus, Panel Builder, Project Special, Government Rate and Solar Partner – drive 132 discount rules, each scoped to a brand and category with a minimum order value and a valid-from / valid-to window. The average realised discount across every rule is 8.3%, with Government Rate deepest at 11% and Retailer Standard shallowest at 5%.

Receivables age themselves. The Rs 1,68,47,645 outstanding splits into Current Rs 68,68,206, 1-30 days Rs 29,21,052, 31-60 days Rs 24,75,998, 61-90 days Rs 7,00,914 and 90+ days Rs 38,81,475. The dashboard reports DSO in days (51 in the seeded book) and the Customers screen flags the accounts over their credit limit before you release stock to them.

Access control is enforced on the server, not in the menu. Six roles – Administrator, Manager, Sales Executive, Warehouse, Accounts and Viewer – map onto 41 named permissions. The permission map drives the sidebar and every server entry point, so hiding a menu item is not the security boundary; each call re-checks the permission before it does anything. Passwords are salted and SHA-256 hashed and cannot be read back by anyone, including the administrator.

Purchase Orders and Goods Receipt

280 purchase orders worth Rs 4,38,62,307 excluding cancelled, 16 still open with Rs 24,74,190 committed, across a sourcing base of 24 suppliers with an 11-day average lead time. Each PO carries a number and date, supplier, deliver-to warehouse, expected date, line count, net, tax, order value and a status of Draft, Sent, Part Received, Received or Cancelled. Goods Receipt then books 256 GRNs against those orders – 74,180 units received worth Rs 4,31,85,799, with 142 units rejected for a 0.19% rejection rate, each receipt tied to a supplier invoice number and marked Received or Received with Rejection.

Payments records 715 customer receipts totalling Rs 12,40,58,956 and 172 supplier settlements of Rs 2,63,78,683 across six modes – RTGS, NEFT, cheque, bank transfer, cash and UPI – each with a UTR or cheque reference and a cleared status.

How to Deploy and Use It

  1. Try the live demo first. Use the green box above. Sign in as admin / Sparx#7412, then again as kavita.iyer / Readonly#9935, and decide whether the screens and the role separation are what you actually need before you spend anything.
  2. Create the Apps Script project. Open script.google.com, choose New project, paste Code.cs.txt into Code.gs, add an HTML file named exactly Index and paste Index.txt into it, then Save.
  3. Deploy it. Deploy > New deployment > Web app, Execute as Me, Who has access Anyone. Accept the unverified-app warning – it is your own script – and copy the web app URL. Remember that later code edits need Deploy > Manage deployments > New version to go live.
  4. Build the database. Open the URL and click Build the database now, or run setup() from the editor. It runs in 22 stages, remembers where it stopped, schedules its own resume trigger and never double-seeds. setupStatus() prints the current stage.
  5. Change the administrator password immediately, then create your own team under Users and delete the seeded accounts you do not need.
  6. Configure Settings. Company name, address, GSTIN and logo; currency symbol and code, date format and financial-year start; default GST rate, place of supply and invoice round-off; print size, footer note and copy labels; email on or off.
  7. Load your own masters via the CSV Import button on Customers, Suppliers, Brands, Product Catalogue and Stock, after clearing the seeded transaction rows from the database spreadsheet.
  8. Run the cycle – Purchase Order, Goods Receipt, Stock, Sales Order, Invoice, Delivery, Payment – and press Refresh or Alt+R when you want fresh figures, because each screen caches on purpose.

Opportunities for Improvement

Everything here was observed in the shipped build. None of it stops the system working, but you should know it before you buy.

  • Two different “last 12 months” totals. The Dashboard reads Rs 12,06,99,440 across 509 invoices. The Reports screen, on its own Last 12 months quick range (29-08-2025 to 29-08-2026), reads Rs 12,11,41,889 across 511. The gap is exactly the Aug-25 stub the inclusive From date pulls in – 2 invoices, Rs 4,42,449 – which is also why that report’s chart draws 13 month buckets instead of 12. Both numbers are correct for their own window; the labels just do not say so.
  • “At reorder level” is counted two ways. Product Catalogue reports 3 SKUs at reorder level, while the Dashboard and the Stock screen both report 59 lines at or below reorder. The catalogue counts SKUs whose total on-hand across all warehouses is at or below the product reorder point; Stock counts individual warehouse-SKU lines. Both are defensible, but if you replenish from the catalogue card you will under-order.
  • Two purchase-order counts against the same money. The Purchase Orders screen reads 280 orders raised (all time) beside Rs 4,38,62,307 excluding cancelled. The Suppliers screen attributes that identical Rs 4,38,62,307 to 263 purchase orders. The 17-order difference is the cancelled and draft orders, but only one of the two screens tells you that.
  • The Audit Log screen caps at 400 entries. The card says “Newest 400 shown” while the seeded database holds 800 audit rows. Older entries are still in the sheet and still export, but you cannot page back to them from the screen.
  • The Archive register is empty by design. The screen states this plainly – nothing has been archived yet, which is the correct state for a fresh install – but it does mean you cannot see what an archived record looks like until you run one yourself.
  • Seven of the eight seeded users show “Last sign in: Never”. Expected on a fresh seed, but the Users screen looks emptier than the rest of the system until your own team starts signing in.
  • The demo data is Indian. Rupee symbols, lakh-crore grouping, an 18% default GST rate, a CGST+SGST split and a Maharashtra place of supply. All of it is configurable under Settings > Regional and Settings > Tax, but a first-time buyer outside India should expect to change it before loading real data.

Best Practices

  • Change every seeded password before the URL leaves your desk. Eight accounts ship active; delete the ones you do not need and create real ones under Users.
  • Take a backup before any bulk import or archive. Settings > Backup now copies the whole database to Drive in one click.
  • Set credit limits properly. The over-limit flag on Customers is only as useful as the limits behind it, and it is the cheapest control in the system.
  • Give the price lists real validity dates. The Price Lists screen tracks validity windows for a reason – stale slab rules quietly erode margin.
  • Count stock and record it. The last-counted date on every stock line is what turns Cycle Count Correction from a guess into an audit trail.
  • Redeploy after every code edit. Editing Code.gs does not change the live app; use Deploy > Manage deployments > New version, or your team keeps seeing the old build.
