Google Sheets KPI Dashboard

Auto Detailing KPI Scorecard in Google Sheets

The Auto Detailing KPI Scorecard in Google Sheets puts 10 auto detailing KPIs on a single page of traffic-light cards, split across four groups: Service Operations, Revenue & Growth, Customer Experience and Cost & Quality. Every card carries a 12-month mini chart, a KPI Trend page charts any KPI against Target and prior year (PY), and the sample file ships with 120 monthly records (10 KPIs x 12 months).

Most detailing studios know roughly how busy the bays were last month, but the real numbers sit in a booking app, the card terminal report, a supplier invoice and the review sites. By the time the owner pulls them together, the next month is half gone. This Google Sheets KPI scorecard gives you one place to type the month’s totals and see at a glance which figures beat target, which slipped, and how each one moved over the year.

Key Features of the Auto Detailing KPI Scorecard in Google Sheets

  • Three selectors on one page. Choose the month (Jan to Dec), MTD or YTD, and Target or PY. All ten cards recalculate from the Input Data tab using ordinary sheet formulas, with no Apps Script, add-ons or macros.
  • Direction-aware traffic lights. Eight KPIs are upper-the-better (UTB) and two are lower-the-better (LTB): Average Turnaround Time and Product Cost per Vehicle. For a UTB KPI, a variance at or below 0% is red, up to 10% is amber and above 10% is green; LTB KPIs use the mirror rule.
  • Full detail on every card. Actual value, Target or PY value, change, change %, a coloured arrow and a 12-month mini column chart with the selected month in green.
  • KPI Trend page. Pick a KPI to see its group, unit, type, formula and definition above two charts: Actual vs Target vs PY (MTD) by Month and Actual vs Target vs PY (YTD) by Month.
  • Editable KPI definitions. Names, units, formulas, definitions and the UTB/LTB type all live on one sheet, so you can adapt the scorecard to how your studio measures itself.

Dashboard Pages Explanation

The scorecard has four working pages plus Read Me, Color Settings, Support and Trend_Support tabs.

Page 1: Scorecard

Ten cards in two rows of five. With December, MTD and Target selected, the sample data shows 4 green, 3 amber and 3 red lights. Revenue per Detailing Bay reads 8931.8 against a 7681.3 target (green, up 16.3%); Average Ticket Value reads 154.9 against 164.2 (red, down 5.7%); and Average Turnaround Time reads 3.5 hours against 3.0 (red, because a slower turnaround is worse). Bay Utilization Rate, Ceramic Coating Attach Rate and Repeat Customer Rate all sit just above target in amber.

Page 2: KPI Trend

Select KPI, KPI Group, Unit, Type, Formula and Definition boxes sit above two charts: Actual vs Target vs PY (MTD) by Month and Actual vs Target vs PY (YTD) by Month. The sample shows First-Time Quality Pass Rate, a UTB percentage KPI in the Service Operations group.

Page 3: KPI Definition

All 10 KPIs with group, unit, formula, definition and type:

  • Service Operations: First-Time Quality Pass Rate (%), Average Turnaround Time (hrs, LTB), Bay Utilization Rate (%)
  • Revenue & Growth: Average Ticket Value ($), Ceramic Coating Attach Rate (%), Revenue per Detailing Bay ($)
  • Customer Experience: Customer Satisfaction (CSAT) (%), Repeat Customer Rate (%), Online Review Rating (/5)
  • Cost & Quality: Product Cost per Vehicle ($, LTB)

For example, Bay Utilization Rate = Booked Bay Hours / Available Bay Hours x 100, and Repeat Customer Rate = Customers Returning Within 90 Days / Total Customers x 100.

Page 4: Input Data

Ten blocks, KPI-1 to KPI-10, each with 12 monthly rows of MTD and YTD Actual, Target and PY. This is the only sheet you type into. YTD values are entered rather than calculated, so you decide whether a YTD figure is a sum or an average.

Auto Detailing Scorecard vs. Excel vs. Detailing Shop Software: Feature Comparison

Feature This scorecard (Google Sheets) Excel KPI workbook Detailing shop software (Urable / Mobile Tech RX)
Cost ✅ One-time payment One-time, plus an Excel licence Recurring subscription
Platform ✅ Browser, any OS Desktop Excel Vendor web and mobile apps
Setup time ✅ Minutes Minutes Days to weeks
Real-time team collaboration ✅ Native Google sharing File attachments or OneDrive Per-user seats
Mobile access ✅ Google Sheets app Limited ✅ Yes
Customisable KPIs ✅ Names, units, formulas, UTB/LTB ✅ Yes Within vendor limits
Share with a link ✅ Yes No Invite users
Booking, job cards, invoicing No, monthly totals only No ✅ Yes

For detailing owners who want a monthly KPI review without another seat-based platform, this Google Sheets scorecard sits in the sweet spot. It complements booking software rather than replacing it.

Who Should Use This Template

Perfect for:

  • Owners of auto detailing studios and ceramic coating shops who run a monthly performance review
  • Mobile detailing operators who want ticket value, repeat customers and product cost on one page
  • Shop managers comparing bay utilization, turnaround time and first-time quality pass rate against target
  • Multi-location owners who want one identical scorecard per site

Not a fit if:

  • You need appointment booking, job cards, customer records, chemical stock control or invoicing
  • You want daily or per-vehicle data, or several years of history in one file

Real-World Use Cases

Marcus owns a three-bay detailing studio. At month end he enters the totals from his booking app, then switches between Target and PY to check Revenue per Detailing Bay and Ceramic Coating Attach Rate. He shares a view-only link with his lead detailer so the whole team sees the same numbers.

Elena runs two mobile detailing vans. When Product Cost per Vehicle turns red she opens the KPI Trend page, sees the rise started in spring, and renegotiates her chemical supplier’s pricing.

Dev manages a coating and correction shop. He watches Online Review Rating and Customer Satisfaction (CSAT) beside Average Turnaround Time to check that faster jobs are not costing him reviews.

Advantages of the Auto Detailing KPI Scorecard

  • One page, one meeting. Ten KPIs with lights and 12-month history fit on a single screen, which keeps a monthly review short.
  • No recurring cost. It is a one-time purchase that runs on a free Google account.
  • Honest direction handling. Turnaround time and product cost turn red when they rise, not when they fall.
  • Easy to adapt. Change KPI names, units and formulas on one sheet without touching the card formulas.

Opportunities for Improvement

We would rather you know these before you buy:

  • June and July drop-down mismatch. The Month drop-down lists “June” and “July” while Input Data uses “Jun” and “Jul”, so those two months do not display their data. Fix it once: on the Scorecard tab select cell N1, open Data > Data validation and change the two entries. Google’s help page explains how to edit a drop-down list.
  • Empty Read Me tab. The Read Me tab ships blank; this post and the product page are the documentation.
  • Color Settings is not linked. The RAG bands that drive the lights live in the Support tab (Z4:AE6); edit them there.
  • Sample data quirks. The fictional sample includes a few out-of-range values: First-Time Quality Pass Rate of 101.1% in July, CSAT above 100% in March and July, and an Online Review Rating of 5.1 out of 5 in three months. They vanish once you enter your own figures.
  • Typed YTD values. YTD figures are entered by hand, which is flexible but means you must keep them consistent.

Best Practices

  • Apply the June/July fix before entering any data.
  • Set targets for all 12 months at the start of the year, and enter actuals within a few days of month end.
  • Keep KPI names on the KPI Definition sheet identical to those in the Input Data blocks.
  • Pull each KPI from the same source every month (booking app, card terminal, supplier invoices, review sites) so the trend lines compare like with like.
  • Share the file with view-only access in Google Sheets for detailers, and edit access only for whoever enters the data.

Frequently Asked Questions

What KPIs does the Auto Detailing KPI Scorecard in Google Sheets track?

It tracks ten auto detailing KPIs: First-Time Quality Pass Rate, Average Turnaround Time, Bay Utilization Rate, Average Ticket Value, Ceramic Coating Attach Rate, Revenue per Detailing Bay, Customer Satisfaction (CSAT), Repeat Customer Rate, Online Review Rating and Product Cost per Vehicle. All of them can be renamed on the KPI Definition sheet.

How long does setup take?

Copying the file takes a minute and the June/July drop-down fix takes another. After that, setup is simply entering 12 months of Actual, Target and PY figures for your 10 KPIs on the Input Data sheet.

How does it compare to detailing shop software?

Booking platforms such as Urable or Mobile Tech RX handle appointments, job cards and invoices on a subscription. This scorecard is a one-time-purchase reporting layer for monthly totals; many studios use it alongside their booking system.

Do I need Apps Script or add-ons?

No. Every card, light and chart is driven by standard Google Sheets formulas and drop-down lists, so nothing asks for script permissions.

Can I change the traffic-light thresholds?

Yes. Edit the RAG table in the Support tab (Z4:AE6). The Color Settings tab is not linked to the lights in this build.

Is the data in the template real?

No. The supplied figures are fictional sample data for demonstration, including a few out-of-range values. Replace them with your own monthly totals.
