Google Sheets KPI Dashboard

Pressure Washing Services KPI Dashboard in Google Sheets

The Pressure Washing Services KPI Dashboard in Google Sheets is a month-picker KPI scorecard for residential and commercial pressure washing companies. It tracks 13 KPIs in 6 groups, shows Month-to-Date and Year-to-Date Actual, Target, Achievement % and Prior Year for every metric, and turns the result into 26 traffic-light statuses. In the September 2025 sample, 5 KPIs are On Target, 4 are At Risk and 4 are Missed for the year to date, with average achievement of 96.3% MTD and 97.7% YTD.Pressure Washing Services KPI Dashboard in Google Sheets

Most exterior cleaning owners already know how many jobs went out last month. What is harder is seeing, on one page, whether quotes are turning into bookings, whether crews arrive on time, how often a job needs a free return visit and whether detergent cost per job is creeping up. This template puts those answers in one Google Sheets workbook driven by plain worksheet formulas, with no add-ons, macros or scripts. It belongs to our KPI Dashboard family (month picker, traffic lights, KPI Trend and KPI Analysis pages), which is a different product from our analytical Google Sheets dashboards and from the separate Pressure Washing Services KPI Scorecard layout, which is still in preparation.Pressure Washing Services KPI Dashboard in Google Sheets

Key Features of the Pressure Washing Services KPI Dashboard in Google Sheets

  • One month picker drives the workbook. The Select Month dropdown on the KPI Dashboard sheet (cell D6) lists the twelve months of the reporting year. The MTD block, the YTD block, the seven header cards and the KPI Analysis page all recalculate for the month you pick.Pressure Washing Services KPI Dashboard in Google Sheets
  • MTD and YTD traffic lights. Every KPI gets a status for the month and for the year to date: On Target from 100% achievement, At Risk from 95% to 99%, and Missed below 95%.Pressure Washing Services KPI Dashboard in Google Sheets
  • Upper-the-better and lower-the-better logic. Nine KPIs are UTB and four are LTB (Callback / Rework Rate, Water Usage Per Job, Chemical Cost Per Job and Equipment Downtime). For LTB KPIs achievement is Target ÷ Actual, so beating a cost target scores above 100%.Pressure Washing Services KPI Dashboard in Google Sheets
  • Prior-year comparison with smart colours. The vs PY arrow shows whether the actual is above or below last year, and its colour shows whether that direction is good for the KPI, so a falling chemical cost shows green.Pressure Washing Services KPI Dashboard in Google Sheets
  • Seven header cards. Total KPIs Tracked, On Target (YTD), At Risk (YTD), Missed (YTD), Improving vs PY (MTD), Avg Achievement (MTD) and Avg Achievement (YTD).
  • Editable KPI list. The sheets are wired for 22 KPI rows. Thirteen are filled in, so you can add nine of your own on the KPI Definition sheet without touching a formula.
  • Sensible YTD rules. Jobs Completed accumulates through the year, while rates, ratios, the CSAT index and per-job costs use running averages.

Dashboard Pages Explanation

The workbook opens on a Home page and holds eleven tabs: Home, KPI Dashboard, KPI Trend, KPI Analysis, KPI Input – Actual, KPI Input – Target, KPI Input – PY, KPI Definition, Support, Read Me and Get More Templates. The six pages below are the ones you use most.

Home Page

The Home page shows three summary cards (13 KPIs, MTD + YTD, zero setup), links every sheet in the Dashboard Pages, Input Sheets and Reference & Help panels, and sets out the three steps: enter your data, pick a month, read the scorecard.

KPI Dashboard

The main scorecard lists all 13 KPIs with KPI Group, Unit and Type, then MTD and YTD Actual, Target, Ach %, Status, Prior Yr and vs PY. The September 2025 header reads 13 KPIs, 5 On Target, 4 At Risk, 4 Missed, 5 of 13 improving versus last year, 96.3% average MTD achievement and 97.7% average YTD achievement.

KPI Trend

Select one KPI in cell B4 to see its group, unit, type, owner, priority, frequency, formula and definition. A twelve-month table shows MTD and YTD Actual, Target, Prior Yr, Ach % and Status with vs Prior Year percentages, and two charts plot MTD Trend and YTD Trend as Actual, Target and PY by Month. The sample shows Jobs Completed rising from 368 in January to 421 in December.

KPI Analysis

Performance by KPI Group counts On Target, At Risk and Missed KPIs per group with average MTD and YTD achievement, and a chart shows Average YTD Achievement by KPI Group. Two ranked tables list the Top 5 and Bottom 5 KPIs by YTD achievement: Water Usage Per Job leads at 101.9%, and Equipment Downtime trails at 92.4%.

KPI Input – Actual

This is where you type this year’s actual result for every KPI, with an MTD and a YTD column for each month. KPI Input – Target and KPI Input – PY use the same layout. Cell E3 holds the first month of the reporting year; change it and the target sheet, prior-year sheet, month dropdown and every sheet title re-base.

KPI Definition

The master list holds each KPI’s number, group, name, unit, formula, definition, type, owner, priority and frequency. Every other sheet reads KPI names from here, so renaming a KPI happens in one place.

For pressure washing companies that want a monthly management scorecard without paying for another software seat, this template sits in the sweet spot.

Who Should Use This Template

Perfect for:

  • Owners of house washing, driveway, roof and commercial exterior cleaning companies who hold a monthly performance review
  • Operations managers and dispatch supervisors watching jobs completed, on-time arrival, crew utilization and equipment downtime
  • Sales leads who need quote-to-booking conversion and repeat customer rate next to operational KPIs
  • Small multi-crew teams that already share files in Google Workspace

Not a fit if:

  • You need scheduling, quoting, invoicing, route planning or a customer database. This is a KPI scorecard, not field service software
  • You need environmental, wastewater, chemical-safety or licensing records. Water Usage Per Job and Chemical Cost Per Job are management measures only
  • You want job-by-job or daily reporting. The workbook works at monthly company level

Real-World Use Cases

Marcus owns a four-crew house and driveway washing business. At month end he selects the month on the KPI Dashboard and reads the Missed rows first. In the sample that means Quote-To-Booking Conversion at 93.3% YTD achievement and Equipment Downtime at 92.4%, so his meeting starts with follow-up calls on open quotes and a service plan for the surface cleaners and pumps.

Priya runs operations for a commercial flatwork cleaning company. She uses KPI Trend on Jobs Completed to show the twelve-month MTD and YTD pattern against target and prior year, and uses it to plan crew hours ahead of the busy months.

Dan handles sales and customer care. Each month he checks KPI Analysis, where the Sales group averages 93.3% YTD achievement while Service Quality reaches 99.1%. That gap tells him the crews are doing the work well, and the next gains sit in converting quotes and winning repeat customers.

Advantages of the Template

  • One-time cost. $8.99 once, with no per-user fee, compared with a recurring subscription for most business software.
  • No hidden logic. Every number is a worksheet formula you can read and trace; there is no Apps Script and nothing to authorise.
  • Fast monthly review. One dropdown updates 26 statuses, seven cards, the group roll-up and the Top 5 and Bottom 5 lists.
  • Balanced scorecard. Operations, money, sales, service quality, customers and water use sit on one page instead of in separate reports.
  • Shareable. Google Sheets sharing lets an owner, an office manager and a crew lead look at the same numbers.

Opportunities for Improvement

  • Manual monthly entry. Actual, Target and Prior Year values are typed in; the template does not pull data from field service or accounting software.
  • Company level only. There is no split by crew, service line or customer type unless you add those as extra KPIs.
  • Rounding on screen. Achievement shows one decimal place. In the September sample, Water Usage Per Job is 62.02 gallons against a 62.00 target, which is 99.97% achievement: it displays as 100.0% but correctly stays At Risk.
  • Fixed thresholds. The 100% and 95% status bands live in the Status formulas on the KPI Dashboard sheet; changing them means editing those formulas.

Best Practices

  • Agree one written definition per KPI, for example what counts as a callback, before you enter the first month.
  • Enter the month’s numbers within a few days of month end so the review uses current data.
  • Set realistic targets for the slow and busy seasons rather than one flat number for the year.
  • Review the Bottom 5 list first each month, then use KPI Trend to check whether a weak month is a pattern.
  • Protect the input ranges you do not want others to edit, using Google’s guide to protecting sheets and ranges.
  • If you add a KPI, keep its Type (UTB or LTB) correct, because achievement and the vs PY colour both depend on it. Google’s help page on in-cell dropdown lists explains the control behind the month and KPI pickers.

Frequently Asked Questions

What KPIs does the pressure washing KPI dashboard track?

The Pressure Washing Services KPI Dashboard ships with 13 sample KPIs in six groups: Operations, Financial, Sales, Service Quality, Customer and Sustainability. They include Jobs Completed, Revenue Per Job, Gross Margin, Quote-To-Booking Conversion, On-Time Arrival, First-Time-Clean Rate, Callback / Rework Rate, CSAT, Repeat Customer Rate, Crew Utilization, Water Usage Per Job, Chemical Cost Per Job and Equipment Downtime.

How long does setup take?

Making your copy takes seconds from the link in the PDF. Most of the setup is typing monthly Actual, Target and Prior Year values into the yellow input cells. After that, the cards, statuses, trend charts and group tables update from formulas, with no refresh step and no script to authorise.

How is this different from the Pressure Washing Services KPI Scorecard?

This template is the KPI Dashboard family: a month picker, MTD and YTD traffic lights, a KPI Trend page and a KPI Analysis page. The Pressure Washing Services KPI Scorecard is a separate product with its own layout and is still in preparation. Choose the format that suits your monthly review.

How does it compare to Jobber or Housecall Pro?

Jobber and Housecall Pro run daily operations such as scheduling, quotes, invoices and crew apps on a subscription. The Pressure Washing Services KPI Dashboard is a one-time purchase that summarises monthly company KPIs. Many owners use field service software for the jobs and this dashboard for the monthly management review.

Can I change the On Target, At Risk and Missed thresholds?

Yes. The defaults are On Target from 100%, At Risk from 95% to 99% and Missed below 95%. The thresholds sit in the Status formulas on the KPI Dashboard sheet, so you can edit them to match your own targets and the rest of the workbook follows.

Does it include real data or compliance guidance?

No. All figures are fictional sample data for 2025, shown with September 2025 selected. The dashboard gives no environmental, wastewater, chemical-handling, safety, licensing or certification guidance. Water Usage Per Job and Chemical Cost Per Job are management measures, and you set your own definitions and targets.
