The Oil Change Service KPI Scorecard in Google Sheets puts 10 KPIs from four groups on a single page: Service Efficiency, Quality & Compliance, Customer Experience and Financial Performance. You choose a month, pick MTD or YTD, and compare against Target or Prior Year (PY). Each card shows the value, the change and change %, a red/amber/green light, and a 12-month mini trend. A second page charts Actual vs Target vs PY for any KPI from January to December. The sample file opens on December, MTD vs Target, with 4 green, 3 amber and 3 red lights.
Oil change and quick lube shops collect plenty of numbers: cars through the bays, minutes per service, comebacks, survey scores, no-shows, ticket totals and add-on sales. What is often missing is one monthly view that shows which of those oil change shop KPIs are on target and which are slipping. This oil change KPI scorecard is that view. It is the KPI scorecard format (ten cards, one review page), a separate product from our analytical Google Sheets dashboards and from the larger GS KPI Dashboard family. All figures in the file are fictional sample data.

Key Features of the Oil Change Service KPI Scorecard in Google Sheets
- Three header selectors. Select Month runs Jan to Dec, the second drop-down switches MTD and YTD, and the third switches the comparison between Target and PY. All ten cards recalculate from those three cells.
- Direction-aware traffic lights. Six KPIs are upper-the-better (UTB) and four are lower-the-better (LTB). A rising Average Oil Change Time, Comeback Rate, Average Customer Wait Time or Appointment No-Show Rate turns the light amber or red, never green.
- Change and change %. Every card prints the target or PY value, the absolute change and the percentage change with an up or down arrow, coloured by whether the move is good or bad for that KPI.
- Mini trend per card. A Jan to Dec column trend sits under each card, with the best month in green and the worst in red.
- Formula and definition for all 10 KPIs. For example, Comeback Rate = Vehicles Returning for Rework within 7 Days / Total Vehicles Serviced x 100.
- Runs in the browser. A free Google account is all you need, and the sheet can be shared with your manager or accountant by link.
Template Structure: Page by Page
Scorecard
The main page holds ten cards in two rows of five. The quick lube KPIs are Average Oil Change Time (min), Bay Utilization Rate (%), Vehicles Serviced Per Day (count), Comeback Rate (%), Correct Oil Specification Match Rate (%), Customer Satisfaction Score (%), Average Customer Wait Time (min), Appointment No-Show Rate (%), Average Revenue Per Ticket ($) and Upsell Attach Rate (%). In the December sample, Bay Utilization Rate reads 79.5 against a target of 68.4 (green, +16.2%), Vehicles Serviced Per Day reads 42.2 against 40.5 (amber, +4.2%) and Average Customer Wait Time reads 12.7 minutes against 10.9 (red).

KPI Trend
Pick a KPI from the drop-down and the page fills in its KPI Group, Unit, Type (UTB or LTB), Formula and Definition. Two charts follow: Actual vs Target vs PY (MTD) and Actual vs Target vs PY (YTD), each with Jan to Dec on the axis, actual and PY as columns and target as a line.

KPI Definition
A ten-row master table with #, KPI Group, KPI Name, Unit, Formula, Definition and Type. Rename a KPI or flip its type here and the Scorecard and KPI Trend pages follow.

Input Data
Ten blocks, KPI-1 to KPI-10, each with twelve month rows and six columns: MTD Actual, Target and PY, then YTD Actual, Target and PY. You type all six values; YTD is not calculated from the MTD rows. The workbook also has a Read Me tab (empty in this version), a Color Settings tab and two helper sheets, Support and Trend_Support.

Who Should Use This Template
Perfect for:
- Independent oil change and quick lube owners who already total their numbers each month
- Shop managers tracking bay throughput, service time and comebacks against target
- Counter and service advisors watching wait time, no-shows, ticket value and add-on sales
Not a fit if:
- You need repair orders, appointment booking, inventory or invoicing; this sheet reports numbers you type
- You want per-technician or multi-location roll-ups; the grain is one row per KPI per month
- You need warranty, environmental or waste-oil compliance records; the template holds none of that
Real-World Use Cases
Mike owns a three-bay quick lube shop. He types the month’s totals, sets the scorecard to MTD vs Target, and reads Average Oil Change Time and Bay Utilization Rate together: a busy bay that is also slow means cars are queuing, which shows up next on the Average Customer Wait Time card.
Rosa runs the front counter. She switches to YTD vs PY to see whether Average Revenue Per Ticket and Upsell Attach Rate are ahead of last year, then opens KPI Trend for the months where add-on sales dipped.
Tom is the lead technician. He watches Comeback Rate and Correct Oil Specification Match Rate. When comebacks turn red he reviews drain-plug and filter checks with the team and how the oil grade is confirmed before each service.
Advantages of the Oil Change Scorecard
- One page, ten answers. A monthly review that used to take several reports fits on one screen.
- Honest colours. Lower-the-better KPIs are scored the right way round, so a longer wait never looks like progress.
- Two comparisons. Target and PY switch in one click, for both MTD and YTD.
- No subscription. It is a one-time purchase that lives in your own Google Drive.
Opportunities for Improvement
We exported the live sheet and checked it before listing. These points are worth knowing:
- June and July show zeros. The month drop-down spells them “June” and “July” while Input Data uses “Jun” and “Jul”. Fix it once: Scorecard cell N1 > Data > Data validation, change the two entries to Jun and Jul.
- Color Settings is not wired in. The red/amber/green bands live on the Support sheet (Z4:AA6 for UTB, AC4:AD6 for LTB). By default a UTB KPI is red at or below its comparison value, amber up to 10% above and green beyond 10%, so exactly hitting target shows red. Edit Support to change them.
- Read Me is empty and YTD values are typed, not derived from MTD.
- Header values are hard to read. The selected month, MTD/YTD and Target/PY print dark on the navy header; set N1, Q1 and V1 to white text.
Best Practices
- Apply the June/July fix before you enter your first year of data.
- Decide how you count a comeback (the sample uses a 7-day window) and keep the rule the same every month.
- Set realistic targets from last year’s actuals rather than round numbers.
- Review MTD vs Target monthly and YTD vs PY quarterly.
- Google’s help pages cover drop-down lists and conditional formatting if you want to adjust either.

Frequently Asked Questions
What does the oil change KPI scorecard track?
This scorecard tracks ten KPIs: Average Oil Change Time, Bay Utilization Rate, Vehicles Serviced Per Day, Comeback Rate, Correct Oil Specification Match Rate, Customer Satisfaction Score, Average Customer Wait Time, Appointment No-Show Rate, Average Revenue Per Ticket and Upsell Attach Rate.
How long does setup take?
Making your copy and the June/July fix take a couple of minutes. After that you type 120 month rows (10 KPIs x 12 months), six numbers each. Every card, light and chart then updates on its own.
Why do the cards show zeros for June or July?
The month list says June and July but the data says Jun and Jul, and the lookup needs an exact match. Change the two list entries in Scorecard cell N1’s data validation to Jun and Jul and the cards fill immediately.
How does this compare to Tekmetric or Shopmonkey?
Those platforms run repair orders, booking, inventory and invoicing on a subscription. This scorecard does none of that; it is a one-time purchase for reviewing monthly quick lube KPIs you already collect, and it can sit alongside such software.
Does it make any compliance or warranty claim?
No. “Quality & Compliance” is just a group label and Correct Oil Specification Match Rate is a number you enter. The template makes no manufacturer-warranty, environmental or waste-oil compliance claim, and the sample data is fictional.
Can I change the KPIs?
Yes. Edit the names, formulas, definitions and UTB/LTB types on KPI Definition, and use the same names on Input Data. The cards and the KPI Trend drop-down pick them up.
