Dairy Dashboard in Google Sheets: Sales, Plants and Quality

This dairy dashboard in Google Sheets turns a year of dairy order lines into one clear report. The Dairy Industry Dashboard in Google Sheets covers six plants, eight products, five sales channels, five US regions and twelve customers, laid out over four dashboard pages plus a Search page, an Instructions page and a Data tab. Four KPI cards, fifteen slicers and seventeen charts are ready to read, and the formulas already cover 1,000 order lines.

Dairy runs on thin margins and short shelf life. Revenue swings by month, every plant ships a different mix, quality has to hold at every site, and the order data usually sits in an ERP export that nobody has time to analyse. This dashboard is that analysis, done in advance: paste your export over the Data tab and every page follows.

Key Features of the Dairy Dashboard in Google Sheets

  • Four KPI cards in a dark side rail. On the sample data: Total Revenue $7,115,594, Volume Shipped 4,541,840 lbs, Gross Margin 29.9% and Avg Quality Score 94.8.
  • Fifteen cyan slicers. Month, Product, Channel, Plant, Region, Product Line and Status, grouped in a filter strip at the top of each dashboard page. Each slicer filters the charts and the Top 5 table on its own page.
  • Seventeen charts. Five on Overview, four on Sales, three on Production and five on Customers.
  • An At a Glance block. Average order value, gross profit, active customers and delayed orders sit under the KPI cards on every page.
  • An Order Lookup page. Type an Order ID and the full order line is pulled from the Data tab with INDEX / MATCH, with Not found shown for a missing ID.
  • 1,000-line capacity and no add-ons. Built with pivot tables, formulas and native slicers, so there is no script or add-on to install.

Dashboard Pages Explanation

The Dairy Industry Dashboard in Google Sheets ships four dashboard pages, a Search page and an Instructions page, plus the Data tab that feeds them. A side rail menu moves you between pages with one click.

Page 1: Overview, Revenue, Channels and Plant Throughput

The landing page reports every plant, product and channel together. Charts are Revenue by Month and Product Line, Revenue Share by Channel, Revenue by Product, Avg Quality Score by Month and Orders by Plant. Retail grocery brings in 40.0% of revenue and wholesale about a third. Cheese is the top earner, quality stays between 94 and 95.5 all year, and the Wisconsin plant handles the most orders (117). A Top 5 Customers by Revenue table is led by Prairie Fresh Foods at $827,063, next to an Order Status Mix with 71.8% of orders delivered.

Page 2: Sales, Monthly Revenue and Regional Share

Where the revenue and the profit come from, by month, region, product and channel. Charts are Revenue by Month, Revenue Share by Region, Gross Profit by Product and Revenue by Region and Channel. The Midwest leads with 29.9% of revenue, cheese makes the most gross profit, and a Top 5 Products by Revenue table lists cheese ($1,912,280), ice cream ($1,054,511), fluid milk ($951,544), butter ($930,145) and yogurt ($912,809).

Page 3: Production, Volume, Product Line Mix and Plant Quality

Volume shipped from each plant, the product line mix and the quality each plant delivers. Charts are Volume (lbs) by Product, Volume Share by Product Line and Avg Quality Score by Plant. Fluid milk is the biggest product at 2,143,430 lbs, conventional products are 51.2% of volume and organic 19.6%, and the Texas plant leads quality at 95.0. A Top 5 Plants by Volume table ranks Wisconsin (1,121,330 lbs), California, Minnesota, New York and Idaho.

Page 4: Customers, Order Size and Delivery Status

Who buys, through which channel, how big their orders are and how reliably they are served. Charts are Revenue by Customer, Orders by Channel, Avg Order Value by Channel, Orders by Month and Orders by Region and Status. Retail grocery places the most orders, wholesale orders are the largest at close to $18,800 on average, and March is the busiest month. Select Delayed in the Status slicer and the page shows only the 38 delayed orders.

Dairy Industry Dashboard - Customers page

Page 5: Search, Order Lookup

Type any Order ID, such as DRY-0001, into the cyan input box and the page pulls the full order line from the Data tab: date, product, plant, channel, region, product line, customer, status, volume, revenue, production cost, gross profit and quality score. Every field is wrapped in IFERROR, so a missing ID shows Not found instead of an error.

Page 6: Instructions, User Guide

A short guide explains how to load your own data, how to use the slicers, how to move around with the side rail menu, and how to rename the plants, products, channels and customers or change the colors.

The Data Tab

The Data tab holds 500 sample order lines for 2025 in 16 columns, from Order ID and Date to Quality Score, Month and Count. Paste your own rows under the headers and keep the Order ID filled in, because the pivots use it to skip empty rows and the Search page uses it to find an order.

Who Should Use This Dairy Dashboard

  • Dairy processing plants and milk co-ops that keep an order log in a spreadsheet
  • Dairy distributors comparing retail grocery, wholesale, foodservice, export and online direct-to-consumer sales
  • Operations managers who need volume and quality by plant on one page
  • Sales managers following customers, regions and delayed orders
  • Consultants who want a finished google sheets dashboard template to drop a client export into

It is not a herd, milking or feed record system, and it has no live ERP connection. It reports orders, volume and quality from the Data tab you paste into.

Real-World Use Cases

A dairy plant manager pastes the month’s order export over the Data tab, opens the Production page and compares volume and quality by plant before the weekly operations meeting.

A distributor’s sales lead opens the Customers page, selects Delayed in the Status slicer and gets the late orders by customer, channel and month to follow up the same morning.

A finance analyst uses the Sales page to see which products and regions earn the gross profit, then filters by Product Line to compare organic and conventional margins.

Advantages of the Dairy Industry Dashboard in Google Sheets

  • Ready the moment you make a copy, with sample data that shows every chart working
  • One file covers sales, production, customers and single-order questions
  • Shares by link with no seat licences
  • Fully editable: rename plants, products, channels and customers, or recolor the cards

Opportunities for Improvement

  • Data is pasted in, not synced, so the dashboard is only as current as the last export
  • Logs far beyond 1,000 order lines need the ranges extended first
  • The layout is built for desktop and tablet screens; on a phone it is better for a quick look than for analysis

Best Practices

  • Keep the 16 column headers exactly as they are and paste values only
  • Use one consistent spelling for each plant, product, channel and customer, or the slicers will list duplicates
  • Clear every slicer with Select all before you share a view with your team
  • Keep a dated copy of the file each month so you can compare periods
