With December, MTD and Target selected, Cubic Yards Excavated per Day reads 384.1 against a 330.3 target (+16.3%, green), Equipment Utilization Rate reads 73.8 against 70.8 (+4.2%, amber), Total Recordable Incident Rate reads 2.3 against 2.0 (+15.0%, red) and On-Schedule Job Completion reads 83.2 against 88.2 (-5.7%, red).

KPI Trend

Select a KPI from the dropdown and the page fills in KPI Group, Unit, Type, Formula and Definition. Two charts follow: Actual vs Target vs PY by Month for MTD, and Actual vs Target vs PY by Month for YTD. Target is drawn as a line over Actual and PY columns, which makes a month that missed target easy to spot.

Read Me, Color Settings, Support and Trend_Support

Color Settings displays a RAG band table for upper-the-better and lower-the-better KPIs. Support and Trend_Support are helper tabs: Support looks up the selected month’s figures for each card and scores the lights, and Trend_Support feeds the two KPI Trend charts. The Read Me tab holds the title only in this build (see Opportunities for Improvement).

Opportunities for Improvement

We tested the live sheet tab by tab before writing this article. These are the limits and defects of the current build, so you can decide with full information:

  • June and July blank the Scorecard. The Select Month dropdown offers “June” and “July”, while Input Data stores “Jun” and “Jul”. The card lookups match the month text exactly, so choosing June or July leaves all ten cards empty. The KPI Trend page is not affected. The fix is quick: edit the month cell’s in-cell dropdown list to read Jun and Jul.
  • The Read Me tab is empty apart from the title. Setup steps are not inside the file yet; use the How to Use steps on the product page and the Best Practices below.
  • Color Settings does not drive the lights. The tab shows the RAG band table, but the lights read their own copy of it on the Support tab (Z4 to AE6). Editing Color Settings changes nothing; to change the bands, edit the Support cells. The Scorecard colours themselves use conditional formatting rules keyed on those light values.
  • Strict bands. As shipped, an upper-the-better KPI turns green only when it beats target by more than 10%, amber from 0% to 10% above, and red at or below target, so a KPI landing exactly on target shows red. Lower-the-better KPIs mirror this.
  • YTD figures are typed, not calculated. Input Data holds no formulas, so YTD Actual, Target and PY must be entered alongside the MTD figures.
  • One year, monthly totals. Each file covers twelve month rows per KPI; there is no per-job, per-crew or per-machine breakdown.
  • Names must match. Cards match Input Data to KPI Definition by KPI name, so a KPI renamed in one tab must be renamed identically in the other.

Best Practices

  • Fix the June/July dropdown entries in your copy before you enter your first month of data.
  • Agree the formula for each KPI with your team before typing figures, especially how working days, available machine hours and direct job cost are counted.
  • Enter targets for all twelve months at the start of the year so the lights mean the same thing every month.
  • Review MTD vs Target monthly and YTD vs PY quarterly; the two views answer different questions.
  • Use your own safety program’s definitions for recordable incidents and near-misses; the sheet only scores the numbers you enter.
  • Keep one file per year, and share it view-only for review meetings.
